The following has been given to Conservation Interns:
When am I eligible to utilize the online travel service that Milne- American Express TravelPort provides for SCA? Your SCA contact will notify you when you are eligible for SCA-paid travel to/from training and/or to/from your program site. Once all of your SCA travel has been booked, you will no longer be an eligible user in the Milne Travel system.
When is the best time to book my travel on-line with TravelPort? The best time to book your travel on-line is Monday through Friday, during business hours 8:30am-5pm (until 3pm is best on Friday) EST. This will enable your supervisor to approve your itinerary quickly and help to keep down the cost of your ticket. If you do book your travel after regular business hours or on the weekend, please be sure to contact Milne to confirm that your reservation has been forwarded to SCA.
How do I get to the Milne-American Express TravelPort website? Please use this direct link to the "Milne TravelPort" website: Book My Travel Now This will directly connect you to the Milne TravelPort site. (This site is different from the MilneTravel or TravelPort website (do not go there directly!). Fill out the traveler profile, filling out all of the mandatory fields (those with an asterisk). Please be sure the name used in the traveler profile matches the name on your photo ID. Then please follow these steps to complete your desired itinerary:
- Follow the links and login using your email address as user ID and the password you created in your profile. Read the terms and conditions and if you agree to them, check the agreement box.
- For security purposes, you will have to change the temporary password you just created.
- Review your profile and fill in any additional required fields. Hit SAVE. Now go to Quick Start page which is the second tab down on the left menu bar. Now create your itinerary. Then click GO. Once you have identified the appropriate flight itinerary, click the "Buy it" tab above the chosen itinerary.
- If you are using your own credit card to purchase your itinerary, instead of SCA's credit card, go to the "Add New Credit Card" option on the "Buy it" page. This will give you a place to add your card and the billing address information.
- On the next page, please fill out the mandatory fields. Don't forget to check the box that you have read and accept all the rules and regulations. Click "Buy it" at the bottom of the page.
- On the next page you will see, "You have successfully purchased your ticket" with a confirmation number. This is not your final ticket approval notification. This information will be sent directly to your SCA program rep, who will then give final authorization. You will receive an electronic confirmation email from Milne Business Travel when you are officially ticketed.
- Remember: To log into TravelPort after your first site usage go to: www.travelport.net
How do I pay for my travel? If you have been authorized to log-on to the TravelPort website, SCA has made previous arrangements to pay for your air travel. If SCA is paying for this travel, then they will also pay the associated booking fee. If you are paying for all or a portion of your travel to/from your site, (again, as outlined by your SCA contact), then you should use your own credit card for payment. (Please see last bulleted item on Page 1.) Any reimbursement (if applicable) would be made after the travel expense has been submitted to SCA. If you are paying for your travel, then you will be responsible for paying the associated booking fee.
What if I need to change my travel? Changes cannot be made online; changes to travel arrangements can only be made by calling our travel consultant at Milne Travel. The toll-free number is 800/336-4563. Please remember that unless the change in plans is necessitated and approved by an SCA or site coordinator request, all charges incurred for changes will be your responsibility and will be dependent upon the rules of the airline(s) involved.
Who do I call in the event of an emergency? Milne Travel's 24-hour emergency line is 866-294-2063 (Code O23). This phone number is for emergencies only and can not be used to book travel. As soon as you can, also contact your program representative.
